The Complete BPO Checklist: Comps, Photos and Condition Notes Vendors Expect

Use this checklist before you submit and your revision rate will drop. Everything reviewers look for, in order.

Most BPO revisions come from a handful of avoidable gaps. Run through this list before you submit and you will pass review far more often, which keeps your vendor score high and your orders flowing.

Before you go

  • Confirm the order type: exterior or interior.
  • Note the due date and any special instructions from the vendor.
  • Pull tax records: year built, square footage, lot size, bedrooms, bathrooms.
  • Check for an active or recent listing of the subject.

At the property

  • Front photo, clear and straight on.
  • Street scene in both directions.
  • Address verification (house number, mailbox or sign).
  • Any visible condition issues: roof, siding, foundation, landscaping, vehicles or debris.
  • Interior orders: every room, plus kitchen, baths, mechanicals and any damage.
  • Note occupancy: owner, tenant, vacant or unknown.

Comparable sales (usually three)

  • Sold within the last three to six months where possible.
  • Within one mile in suburban areas, closer in urban, wider in rural. Explain if you go outside.
  • Bracket the subject: at least one larger and one smaller, one superior and one inferior.
  • Same property type and similar age.
  • Adjustments explained in plain language.

Active listings (usually three)

  • Currently on the market, comparable to the subject.
  • Note days on market and any price reductions; they signal where the market is heading.

Condition and neighbourhood commentary

  • Specific observations, not generic phrases.
  • Repairs needed with rough cost estimates if the form asks.
  • Neighbourhood trend: stable, improving or declining, and why.
  • Any external factors: busy road, commercial neighbour, flood zone.

Pricing

  • Suggested list price and probable sale price, both supported by the comps.
  • As-is versus repaired value if requested.
  • Estimated marketing time.

Before you submit

  • Every required field filled.
  • Photos labelled and oriented correctly.
  • Numbers in the narrative match the numbers in the grid.
  • Submitted before the deadline, ideally a day early.
