How to Set Up Gmail Auto-Forwarding for BPO Order Emails
Gmail forwarding is a two-step process, and the second step is where most agents get stuck. Here is the full walkthrough.
Every BPO automation tool needs to see your order emails. The cleanest way to do that without handing over your inbox password is a Gmail forwarding rule. It takes five minutes, but there is a confirmation step that trips up a surprising number of agents. Here is the whole process.
Step 1: Add the forwarding address
- Open Gmail on a computer and click the gear icon, then See all settings.
- Open the Forwarding and POP/IMAP tab.
- Click Add a forwarding address and paste the address your automation tool gave you (in BPOFlow, it is shown on your dashboard).
- Click Next, then Proceed.
Step 2: Confirm the address (the step people miss)
Gmail sends a confirmation email to the forwarding address. Your automation tool receives it and either confirms automatically or shows you the confirmation code. BPOFlow confirms it for you within a minute. Until this happens, Gmail will not forward anything.
If Gmail says the address is "already forwarding to this address" or shows the address as unverified, remove it and add it again.
Step 3: Turn forwarding on
Back on the same tab, select Forward a copy of incoming mail to and choose your address. We recommend keeping a copy in your Gmail inbox so you still see every order yourself. Click Save Changes at the bottom. Adding the address is not enough; forwarding must be switched on.
Optional: forward only vendor emails
If you prefer not to forward everything, create a filter instead: search for the vendor sender domains, choose Forward it to your automation address, and save. Just remember to update the filter when you add a vendor.
Step 4: Verify it actually works
Send yourself a test email, or wait for the next vendor broadcast, and check that it appears in your tool. BPOFlow's dashboard shows the forwarding status as connected only after a real email has arrived, so a green indicator means it is genuinely working.
Two-account trap
If you have more than one Gmail account, make sure you are configuring the one your vendors email. Several agents have set up forwarding perfectly on the wrong account.
