BPO Vendor Scorecards: How to Keep Your Rating High and Your Orders Flowing

Your vendor score quietly controls how many orders you see. Here is what goes into it and how to protect it.

Every BPO vendor keeps a score on you. It may be a number, a tier or a simple flag, but it exists, and it affects how many broadcasts you receive and whether you are ever assigned orders directly. Protecting it is as important as catching orders in the first place.

What vendors measure

  • On-time delivery. The biggest factor. Late reports are the fastest way to lose volume.
  • Revision requests. Every time a reviewer sends the report back, it counts against you.
  • Accuracy of value. Some vendors compare your opinion to later sale prices or appraisals.
  • Completeness. Missing photos, blank fields and generic comments all register.
  • Acceptance behaviour. Accepting and then cancelling orders is noticed.

Habits that keep the score high

Accept only what you can deliver

A daily cap is the simplest protection. Auto-accept makes it easy to overcommit on a busy day; a cap makes that impossible.

Use genuinely comparable sales

Reviewers can tell when the same three comps appear on every report. Pick sales that bracket the subject on size, age and condition, and explain any large adjustment in a sentence.

Write specific condition notes

"Average condition" tells the reviewer nothing. "Roof appears original, some curling shingles, exterior paint peeling on south side" tells them you were there.

Photograph properly

Front, street scene both directions, address verification, and every required interior room if applicable. Blurry or missing photos are a common revision cause.

Never accept an order you cannot reach

Tight ZIP filters are score protection, not lost income.

Recovering a damaged score

Deliver early for a month. Respond to revision requests the same day. Some vendors will reset a tier after a clean streak; others will not, but the volume usually comes back as your recent record improves.
